T4 Technical User Training

Terminalfour (T4) is the content management system used at University of Florida (UF) to build and manage university websites. This self-paced Rise course was created for UF technical users,  providing the knowledge and practical guidance needed to effectively manage website structure, content, media, navigation, accessibility, and other key components within Terminalfour.

Project Overview

The Problem

UF’s existing self-paced T4 Technical User Training was discontinued due to accessibility concerns, creating a need for a redesigned and accessible learning experience. The training contains extensive technical content, detailed step-by-step instructions, and visual guidance. Learners therefore needed a flexible resource they could complete at their own pace and return to later to review processes and instructions when needed.

The Solution

The SME-provided technical training guide was transformed into a structured, self-paced course in Articulate Rise. The content was reorganized and presented in a more learner-friendly format, using clear instructional steps, visuals, interactive learning activities, and knowledge checks to support understanding and application. The course was also reviewed for accessibility and overall learner experience before publication in myTraining. The resulting course gives UF technical users an accessible learning resource that supports both initial training and ongoing reference.

 Development Process

The project began with collaboration with the UF Web Services team and subject matter experts (SMEs) to review the existing T4 training materials and establish the direction for the redesigned course. Together, we confirmed the course outline, content scope, technical information, and learning priorities, creating a clear foundation for transforming the SME-provided content into a structured self-paced learning experience.

Using the SME-approved course outline and technical content as the foundation, the course was developed in Articulate Rise as a structured, self-paced learning experience. The extensive technical content was organized into manageable sections, with step-by-step instructions, screenshots, visual examples, and interactive activities designed to make complex information easier to follow and revisit.

Accessibility was integrated throughout the development process, including using WebAIM to verify color contrast, the UFIT Alt-Text Generator to support meaningful alternative text for images, appropriate font sizes for readability, and clear headings, content structure, and navigation. These design decisions helped create an engaging, accessible, and easy-to-use learning experience while preserving the accuracy and depth of the SME-provided content.

The course went through a two-stage review process to ensure accuracy, accessibility, and a positive learner experience. In the first stage, an intern reviewed the course for typos and clarity, estimated the completion time, and tested accessibility using the NVDA screen reader. Feedback from this review was incorporated to address identified issues and refine the course. In the second stage, the manager conducted a final review to verify content accuracy, overall quality, and readiness for delivery.

After final approval, the course was published in UF’s myTraining system, making it available to the university community. To increase awareness and encourage participation, the course was also promoted through UFIT Training monthly newsletter. The self-paced format provides flexible, ongoing access to the training, allowing learners to complete the course at their own pace and return to the detailed T4 instructions and visual guidance as a reference when needed.

Course Showcase

This course was designed to help learners understand how to create and manage content within UF’s T4 web content management system. It presents technical concepts and processes in a clear, structured, and visually engaging way to support learners as they develop the knowledge and skills needed to work with T4.

The course uses organized content, visual examples, and accessible design practices to make technical information easier to understand and apply. The screenshots below showcase selected examples of the course design, including T4 user roles and responsibilities, , UF Mercury Theme page layouts, and media management.
